Audit & Forms
Each year the Diocese’s Safe Environment Program is audited for compliance with the United States Conference of Catholic Bishop’s Charter for the Protection of Children and Youth. A third party audit firm reviews all aspects of program delivery to children and youth in parish schools and religious education classes, teen and adult volunteers, lay staff, religious and clergy. Auditors review documentation of curriculum, class registrations, opt-out lists, background checking methods and reporting of any concerns or complaints.
Safe Environment Coordinators are responsible for maintaining all records for the parish or school and will submit the Audit Compliance Letter, Audit Task Form for Charter Implementation and Final Audit Report with all required attachments. The audit period is for July 1 to June 30 for each fiscal year. There is a three-year cycle of onsite audits. The Diocese will participate in an onsite audit. Submission dates are listed in the Audit Instruction and Compliance Letter.
Safe Environment records must be retained in the original paper form for 7 years and electronically thereafter, but are never destroyed. Safe Environment Coordinators will maintain files for each volunteer and employee of the parish or school in a secured environment.
